By using the Company website or opting into our communications, you consent to the data practices described in this Policy.

I. Information We Collect

A. Information You Provide Directly

We collect personally identifiable information you voluntarily provide, which may include your:

  • First and last name
  • Mailing address
  • Email address
  • Phone number
  • Employer / veterinary practice name
  • Job title

Professional license information

We do not collect any personal information about you unless you voluntarily provide it. You may provide information when completing contact forms, subscribing to our communications program, applying to join our sales consultant team, or engaging with us as a supplier, client, or veterinary partner.

B. Information Collected Automatically

The Company may automatically collect information about your computer hardware and software, including your IP address, browser type, domain names, access times, and referring website addresses. This information is used for the operation of the service, to maintain quality, and to provide general statistics regarding use of the Company website. It is also collected through HubSpot tracking technologies. See Section VI for more information about cookies.

C. HubSpot CRM and Marketing Platform

We use HubSpot, Inc. as our customer relationship management (CRM) and marketing automation platform. HubSpot collects and processes data on our behalf, including contact information, email engagement metrics (such as open rates and click-through rates), and website activity. II. Our Opt-In Veterinary Communications Program

A. What It Is

VetBridge Associates, LLC maintains a permission-based database of veterinary professionals and clinic staff who have explicitly opted in to receive communications from us. Participation is entirely voluntary. This database is used solely to deliver communications through the VetBridge platform and is never sold, rented, or transferred to third parties.

B. What You Will Receive

By opting in, you agree to receive both educational and promotional communications, which may include:

  • Educational content about animal health products, clinical techniques, and industry developments
  • Product information and announcements relevant to veterinary practice
  • Promotional offers or campaign materials related to animal health products and services
  • News, insights, and resources curated by VetBridge for veterinary professionals

Some communications are sent solely under the VetBridge brand. Others may be produced on behalf of our animal health manufacturer and supplier clients. In such cases, the sponsoring brand will be identified within the communication. The level of client identification may vary by campaign.

C. Commercial Relationship Disclosure

Important: VetBridge Associates, LLC is a commercial services partner to animal health manufacturers and suppliers. When we send communications on behalf of a client, we act as the sender and relationship manager. We do not share your contact information or database record with those clients. Your data remains within the VetBridge platform at all times. However, by opting in, you acknowledge that some content you receive may be commercially motivated and may relate to specific products or brands.

D. How to Opt In / Opt Out

You may opt into our communications program through subscription forms on our Site, at events, or through other VetBridge touchpoints. Consent is recorded with a timestamp and source in our HubSpot platform. You may unsubscribe at any time by clicking the “Unsubscribe” link in any email we send, or by emailing contact@vetbridgeassociates.com. We will honor all opt-out requests within ten (10) business days.

III. Sharing Information with Third Parties

VetBridge Associates, LLC does not sell, rent, or lease its customer lists to third parties. The Company does not sell sensitive personal data or biometric data to third parties.

The Company may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your unique personally identifiable information (email, name, address, phone number) is not transferred to the third party.

We may share data with trusted partners to help perform statistical analysis, send email or postal mail, provide customer support, or arrange for deliveries. This primarily includes HubSpot, Inc., which stores and processes subscriber data on our behalf. All such third parties are prohibited from using your personal information except to provide these services to the Company.

The Company may disclose your personal information, without notice, if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on the Company; (b) protect and defend the rights or property of the Company; and/or (c) act under exigent circumstances to protect the personal safety of users of the Company or the public.

IV. Opt-Out of Disclosure of Personal Information to Third Parties

You have the right under the California Consumer Privacy Act of 2018 (CCPA) and certain other privacy and data protection laws, as applicable, to opt out of the sale or disclosure of your personal information. VetBridge Associates, LLC does not sell personal information. If you wish to submit a CCPA request or exercise your right

V. How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to inquiries and provide customer support
  • To deliver educational and promotional communications through our opt-in program
  • To manage your subscription preferences in HubSpot
  • To measure and analyze email engagement (open rates, clicks, etc.) to improve communications

VI. Tracking User Behavior and Cookies

The Company may keep track of the websites and pages our users visit within the Company, in order to determine which services are the most popular. This data is used to deliver customized content and advertising to customers whose behavior indicates interest in a particular subject area.

VIII. Security of Your Personal Information

The Company secures your personal information from unauthorized access, use, or disclosure using the SSL Protocol and encryption in transit and at rest. Our HubSpot platform maintains SOC 2 Type II certification.

We strive to take appropriate security measures to protect against unauthorized access to or alteration of your personal information. Unfortunately, no data transmission over the Internet or any wireless network can be guaranteed to be 100 percent secure. As a result, while we strive to protect your personal information, you acknowledge that: (a) there are security and privacy limitations inherent to the Internet that are beyond our control; and (b) the security, integrity, and privacy of any and all information and data exchanged between you and us through this Site cannot be guaranteed.

IX. Right to Deletion

Subject to certain exceptions set out below, on receipt of a verifiable request from you, we will:

  • Delete your personal information from our records; and
  • Direct any service providers to delete your personal information from their records.

Please note that we may not be able to comply with requests to delete your personal information if it is necessary to:

The Company does not knowingly collect personally identifiable information from children under the age of thirteen. We may store your data on servers provided by third-party hosting vendors with whom we have contracted, including HubSpot, Inc. These vendors are required to maintain the confidentiality and security of your

XIII. CAN-SPAM Act and Email Compliance

All commercial email communications sent by VetBridge Associates, LLC comply with the federal CAN-SPAM Act. Specifically:

  • Every email will clearly identify VetBridge Associates, LLC as the sender
  • Subject lines will accurately reflect the content of the message
  • Every email will include our valid physical mailing address
  • Every email will include a clear and functional unsubscribe mechanism
  • Opt-out requests will be honored within ten (10) business days

Where communications are produced on behalf of a client partner, VetBridge Associates, LLC remains the responsible sender for CAN-SPAM compliance purposes.

XIV. Changes to This Statement

The Company reserves the right to change this Policy from time to time. When changes to this Policy are significant, we will inform you by sending an email to the primary email address specified in your account, by placing a prominent notice on our website, and/or by updating any privacy information. Your continued use of
